Clayton Campus Secretary & Home Link Registrar Shift:
Monday - Friday, 32.5 hours per week
Location:
Clayton Home Link Campus Position Summary The Clayton Campus Secretary & Home Link Registrar serves as the front desk secretary contact for the Clayton Home Link Campus while also conducting registrar services for Home Link high school students. This dual-role position oversees front-office reception, campus safety monitoring, facility coordination, student record maintenance, and academic transcript processing. Key Responsibilities Campus Administration & Front Office Operations Manage day-to-day front-office operations, including answering multi-line phones, directing inquiries, and supporting visitors, students, and staff. Maintain campus security by managing main-entrance access control and actively monitoring building cameras. Execute daily opening and closing procedures, ensuring classrooms and common areas are operational and secure. Oversee family room spaces, coordinate room setups for specialists, and manage building facilities. Order, track, and maintain inventory for classroom and building supplies. Submit and track work orders for facility maintenance, pest control, and physical repairs. Prepare substitute teacher folders and provide daily operational support to staff, consultants, and specialists. Collaborate with schedulers to coordinate classroom availability, specialist needs, and paraprofessional duties. Campus Safety & Health Coordination Assist in directing and executing routine campus safety and emergency drills. Conduct monthly maintenance checks on Automated External Defibrillators (AEDs). Administer basic first aid, maintain emergency health alerts, and keep all first aid bags fully stocked. Generate and distribute semester emergency "Red Bag Reports". Registrar & Student Data Management Manage student attendance records within the ALEX system, ensuring compliance with reporting standards. Navigate Skyward to update student records, enroll courses, and assign CEDARS Course Codes. Create, audit, and edit official high school transcripts, entering grades accurately from spreadsheets and course logs. Post first- and second-semester class schedules and run official system reports. Communicate with higher education institutions and school districts regarding transcripts, course credits, and graduation requirements. Assist students, families, and academic consultants with Running Start application processes and scholarship opportunities. Qualifications & Competencies Category Requirements & Core Competencies Education & Experience
  • High School Diploma or equivalent required (Associate degree or specialized office/registrar experience preferred).
  • Previous secretarial, registrar, or educational administrative experience preferred. Technical Skills
  • Proficiency in Student Information Systems (e.g., Skyward, ALEX) and state reporting frameworks (CEDARS).
  • Strong computer skills using Microsoft Office Suite and Google Workspace applications. Communication & Service
  • Excellent oral and written communication skills with a strong customer-service focus.
  • Proven ability to establish collaborative relationships with students, parents, staff, and community members.
  • Sensitivity and responsiveness to individuals from diverse socioeconomic, cultural, and ability backgrounds. Operations & Discretion
  • Strong multi-tasking and organizational abilities in a fast-paced environment.
  • High degree of professionalism, adherence to FERPA/confidentiality protocols, and discretion with student data.
  • Familiarity with alternative education structures and Home Link community culture.

Talk and Hear Salary:
$20.23-$25.26 per hour. Initial placement is based on applicable experience in accordance with the Public-School Employees (PSE) Collective Bargaining Agreement. Additional compensation may be available as provided in the negotiated agreement. Pay is annualized over 12 months (if hired after Sept., spread over the remaining months of the contract year (Sept-Aug)). Placement is defined within the Collective Bargaining Agreement (CBA) and is generally based upon experience.
Contract Year:
