Joyful Academy of Music is looking for one or two caring and capable individuals to join our Welcome Team as Front Desk Administrative Assistants. Our Welcome Team helps every student, parent, teacher, and visitor feel noticed, supported, and warmly welcomed. This is an active front-desk and administrative position in a busy, growing music academy serving students from age 3 through senior citizens. This is a wonderful opportunity for someone who enjoys working with people, music, customer service, organization, and being part of a collaborative team. A musical background is a huge plus, but it is not required. Most importantly, we are looking for someone who genuinely enjoys helping students and families and wants to make a positive difference in their lives. Important Schedule Requirements This is an on-site position requiring consistent weekday afternoon and evening availability.

8:30 AM-2:30 PM Applicants are not expected to work every weekday. A typical schedule may include two to four weekday afternoon and evening shifts and most Saturdays. Strong and dependable Saturday availability is essential. Saturdays are one of our greatest staffing needs, so applicants should only apply if they are genuinely available to work most Saturdays on an ongoing basis. Welcome Team members work together to provide occasional coverage for planned absences, illness, vacations, or approved time off. However, this position is not intended for someone who is only available one Saturday per month or whose availability changes frequently. We currently have approximately 30-35 hours of work available each week.

Primary responsibilities include:
Warmly welcoming students, families, teachers, volunteers, and visitors Answering phone calls, text messages, emails, and in-person questions Managing lesson schedules, attendance, registrations, and administrative records Helping students arrive at the correct lessons and classrooms Supporting teachers and helping lessons and classes remain on schedule Assisting new and prospective families Preparing student and teacher materials Keeping the front desk, office, files, and systems organized Helping with teacher onboarding and confidential records Assisting with showcases, community events, volunteer projects, and special activities Communicating and collaborating closely with other team members This is not a quiet, uninterrupted office position. During our busiest hours, students are arriving, classes are changing, phones are ringing, and several people may need assistance at the same time. The right person will remain warm, patient, organized, and helpful while managing questions, interruptions, schedule changes, student transitions, and competing priorities. This person should be able to take initiative and follow through on assigned responsibilities without needing constant supervision. At the same time, Joyful Academy of Music is highly team-focused. Key ResponsibilitiesWelcoming and Supporting Students and Families Help every student and family feel welcomed, valued, and cared for Interact warmly and professionally with children, teens, adults, and senior citizens Respond promptly and professionally to calls, texts, emails, and questions Provide information about lessons, programs, policies, scheduling, and events Follow up with prospective and new families in a friendly and timely manner Communicate student and family questions, concerns, and updates to the appropriate team members Maintain a positive and professional presence at the front desk Scheduling and Administrative Support Schedule and update lessons using Opus1.io Monitor in-person and online lesson attendance Help families with cancellations, makeup lessons, schedule changes, and general questions Assist with registrations, forms, payments, and other administrative tasks Maintain accurate student, family, teacher, attendance, and scheduling records Communicate schedule changes clearly and accurately Use My Studio Success and other systems to keep families and teachers informed Coordinate with other Welcome Team members to ensure important responsibilities are covered Student Transitions and Daily Class Flow Help students find the correct classrooms and lessons Monitor busy transition times between lessons and classes Provide students and families with clear directions and assistance Communicate student arrivals, absences, delays, and schedule changes to teachers Help lessons and classes remain organized and on time Maintain a safe, clean, and welcoming environment Work with coworkers to manage busy periods and competing needs New Student and Family Onboarding Welcome new students and introduce them to our programs and policies Prepare student binders, books, and other materials Help students and families understand academy communication and scheduling systems Answer questions and help each student have a smooth and positive start Share important information with teachers and administrative team members Teacher and Classroom Support Prepare teacher materials, copies, binders, and classroom resources Organize music, games, teaching materials, and supplies Assist teachers with schedules, attendance, student information, and administrative needs Communicate important information between teachers, students, families, and the administrative team Help teachers access the resources they need efficiently Teacher Onboarding and Records Depending on the team member's experience and assigned responsibilities, duties may also include: Assisting with teacher onboarding checklists and required paperwork Coordinating background-check paperwork and tracking completion Preparing contracts and onboarding documents using approved templates Sending documents for signature and following up on missing items Maintaining organized and confidential teacher records Helping schedule teacher orientation, training, check-ins, and reviews Preparing teacher binders, schedules, resources, and system access Handling applicant and employee information with professionalism and discretion Academy leadership remains responsible for final hiring, contract, evaluation, disciplinary, and employment decisions. Office and Digital Organization Keep the front desk, office, materials, and supplies clean and organized Maintain clearly labeled and current digital files Help document and improve procedures and organizational systems Use or learn Monday.com to track tasks, projects, and deadlines Learn new software and communication platforms as needed Troubleshoot basic technology issues Communicate updates so the entire team remains informed Events, Volunteers, and Community Support As time allows and responsibilities are assigned, Welcome Team members may also: Help prepare for showcases, recitals, camps, celebrations, and community events Prepare programs, signs, decorations, supplies, and communications Organize projects and materials for parent volunteers Provide volunteers with clear instructions, supplies, and deadlines Assist with community outreach and enrollment projects Contact schools, churches, colleges, senior communities, and community organizations Post approved teacher job openings and assist with applicant communication Help prepare flyers, announcements, and simple Canva graphics Represent Joyful Academy of Music warmly at community events These projects are shared among the team. This position is not solely responsible for hiring teachers, marketing the academy, or generating enrollment. Preferred Qualifications The following experience is helpful but not required: Customer service, reception, office administration, scheduling, education, childcare, or hospitality Working with students and families of different ages and backgrounds Music lessons, music education, performance, or another musical background Managing schedules, attendance, or busy student transitions Employee onboarding, contracts, background checks, or personnel records Volunteer coordination, community outreach, recruitment, or event planning Working with schools, churches, colleges, homeschool groups, senior communities, or other community organizations Creating organizational systems or documenting procedures Canva or other basic design tools A musical background and appreciation for music education are a huge plus. Music-school experience is helpful but not required. Physical and Practical Requirements Able to move throughout the academy during busy transition periods Able to sit, stand, walk, bend, and reach as needed Able to work at a computer and communicate by phone, text, and email Able to organize and carry binders, supplies, teaching materials, and event materials Compensation Pay for this position is $20-$25 per hour . Candidates with limited front-desk or administrative experience will generally begin at $20-$21 per hour. Candidates with strong, directly relevant experience may qualify for a higher starting rate. The highest end of the range is reserved for candidates with substantial experience who can confidently take ownership of advanced responsibilities with less training.
