JOB DESCRIPTION
The secretary in this position will be responsible for supporting a variety of staff programs; accurately monitor personnel expenditures and ensure program compliance; assist with collection, tabulation and analysis of data; prepare correspondence, data collection forms, and event reports; and perform other job-related duties as assigned in the Professional Learning and Assessment office. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily; be detail oriented; and display the ability to operate with a minimum of supervision. CONDITIONS OF EMPLOYMENT
High school diploma or equivalent. Must present transcripts of highest level of education within thirty (30) days of hire. Must be able to perform the essential functions of the position with or without reasonable accommodation. Must be able to meet the Physical Demands of the position. Must pass a basic skills test. Completion of Safe Schools Web Based Training within thirty (30) days of hire and yearly thereafter. Must pass a background check, which includes employee paid fingerprinting.
QUALIFICATIONS REQUIRED
Employment history in similar position(s) References indicating satisfactory skills and abilities in similar position.
Previous secretarial experience:
operating general office equipment such as computer, scanner and copy machine, digital camera; proficiency in office methods such as accounting, financial processing, filing, digital record keeping, telephone etiquette, data management, etc. Demonstrate knowledge and successful experience implementing accounting procedures, managing and tracking budgets, grants, and purchasing with attention percision and detail. Evidence of ability to maintain accurate records. Evidence of strong problem solving skills and ability to work independently. Evidence of ability to organize, set priorities, and meet deadlines in a fast paced environment. Proficiency in Microsoft Office applications, Google Suite products, and Canva. Demonstrate ability to work accurately and independently to set up budget notebooks, process requisitions and purchase orders, record expenditures, reconcile reports, complete journal entries, complete expenditure reports and meet federal and state auditing standards. Demonstrate ability to design accounting formats and to update accounting procedures. Demonstrate ability to maintain separate budgets and communicate with vendors and director. Demonstrate ability to effectively communicate with diverse staff, students, administrators, and public both orally and in writing. Demonstrate ability to work flexibly to support a team while maintaining a positive customers service with multiple interruptions and projects. Evidence of ability to establish and maintain positive relationships with others as part of a team. Positive evaluations and recommendations that support character and work ethic. Excellent attendance, punctuality, and dependability; evidence of ability to be self-disciplined and a self-starter. Must uphold board policies and follow administrative procedures. Evidence of ability to approach assigned work in a professional manner, working toward the common goal of teamwork, pride in service delivery and continuous improvement Must demonstrate sufficient command of the English language to communicate verbally and in writing with students, parents, district staff members and other concerned people regarding all aspects of their job related activities. Must be able to use basic computer programs to maintain records, enter timecard information and read and respond to email in a prompt manner.
QUALIFICATIONS PREFERRED
Associate's degree (A.A.) or equivalent from a two-year college or technical school. Experience with District Software such as Business +, PowerSchool, Laserfiche workflow, Timecard Online. Knowledge of Schoology and pdEnroller.
JOB RESPONSIBILITIES
Maintain confidentiality and practice discretion regarding students, parents and staff. Communicate positively and effectively with parents, staff, administrators and the community. Work accurately and independently to set up budget notebooks and ledgers to record expenditures and purchases. Establish clear bookkeeping procedures. Maintain ongoing financial accounting for all professional learning, prepare requisitions, assure process completion, verify and reconcile accounts, prepare monthly and year-end expenditure reports, meet federal and state auditing and monitoring requirements. Maintain database of staffing by program and accurately monitor personnel expenditures and ensure program compliance. Assist with collection, tabulation and analysis of data as required for program accountability. Prepare layouts and graphics for presentation of proposals, correspondence, parent newsletters, data collection forms, and program reports. Coordinate curriculum materials, budgets, and ordering equiptment for K-12 Health, PE, Music, and Art. Organize registrations, transportation, facilities, and substitutes for Choral Fest, Mallet Fest, Orchestra Fest, and other school music competitions. Process requisitions, purchase orders, invoices and reconcile credit card statements. Order supplies as needed. Maintain collection and tabulation of verification of hours for staff in pdEnroller. Compile and sort documents, such as invoices, packing slips, statements and purchase orders substantiating business transactions. Prioritize tasks to meet proposal deadlines and support program needs. Provide payroll oversite for the department, including Timecard Online entries, collection of attendance sheets for after school programs, etc. Receive and approve travel requests for professional development, set up travel arrangements for staff. Reconcile P-card transactions and gather documentation for payment. Establish an inviting and responsive office environment that supports the effective operation of Federal Programs. Communicate positively and effectively with parents, staff, administration, and the community. Establish an on-going understanding of the department. Perform all duties of the position within the scope of Kennewick School District policies and procedures, including regular attendance and punctuality. Perform other job-related duties as assigned.
