Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This energetic role is vital in ensuring smooth office operations, providing exceptional support to staff and clients, and maintaining an efficient work environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. Duties Answer phone calls and provide assistance, determine who to pass the call on to and/or take a message. Manage daily email correspondence by responding to inquiries and ensuring timely follow-up. Where appropriate, forward email requests to the staff person responsible. Complete Front Office Tasks weekly such as cleaning and organizing office and studios. Check in open gyms. This includes printing registration lists, collecting payments, and having waivers signed. Respond to Birthday party inquiries and schedule parties. Collect deposits and provide information to the Bookkeeper to follow up with an invoice. Handle all communication with the renter, collect waivers, order food, and ensure the room is set up according to instructions. Review the day's bookings and prepare waivers for groups. Count and reconcile monies collected for open gyms from the night before as well as each day's open gym sessions. Assist with HUB events as requested by staff running the event. Assist staff with projects as needed to include facility cleaning and court set-up/tear down. Required Skills Excellent verbal and written communication skills Strong organizational and time management abilities Ability to multitask and prioritize competing deadlines High attention to detail and accuracy Professional customer service and interpersonal skills Ability to maintain confidentiality and handle sensitive information Strong problem-solving and critical-thinking skills Dependable, self-motivated, and able to work independently Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Experience with Google Workspace (Gmail, Docs, Sheets, Calendar) Email and correspondence management Data entry and record-keeping experience Ability to learn new office software and technology quickly Preferred Qualifications Associate's degree or completion of college coursework in Business Administration, Office Administration, Communications, or a related field. One to three years of administrative assistant, office coordinator, receptionist, or other administrative support experience.
