Job Description

Waeco Construction is seeking a highly organized and detail-oriented Administrative Assistant to support our construction and telecom operations. This role focuses on job setup, project tracking, and preparing documentation for job closeout and client submission. The ideal candidate is self-motivated, efficient, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Set up new telecom and construction jobs, including project entry and tracking in internal systems Assist with project documentation including permits, traffic control plans (TCPs), as-builts, and closeout packages Track and organize project files such as prints, bore logs, daily reports, and photos Support preparation of client submittals, including documentation required for invoicing and project closeout Work closely with project managers, accounting, and field crews to gather and verify job information Help track project progress, ensuring required documentation is completed in a timely manner Maintain accurate and organized digital filing systems
Qualifications:
Strong organizational skills and attention to detail Ability to prioritize tasks and meet deadlines in a fast-paced environment Self-motivated with the ability to work independently Fast learner with a proactive mindset Strong communication skills
Required Skills:
Proficiency in Microsoft 365 (Excel, Outlook, Word) Preferred (Not Required): Experience with Google Docs / Google Workspace Telecom or utility construction experience Familiarity with construction blueprints, fiber layouts, or utility prints Experience with project tracking, invoicing support, or job cost documentation
