Job Description

We are looking for a Senior Administrative Assistant with relevant experience to provide high-level support to leadership within the accounting and finance organization in Washington. This Long-term Contract position calls for someone who brings strong judgment, warmth, and a strong business presence while keeping daily operations organized and running smoothly. The ideal candidate is comfortable working across teams, communicating with vendors and internal partners, and handling sensitive matters with discretion and confidence.
Responsibilities:
  • Coordinate calendars, travel plans, and expense submissions for senior leadership, while helping maintain schedules for additional team members as needed.
  • Serve as a central point of contact for administrative requests by managing incoming communications, routing mail, and ensuring documents reach the appropriate departments promptly.
  • Prepare and send clear, effective correspondence on behalf of leadership, including reminders, follow-up messages, and other business communications.
  • Maintain office readiness by overseeing meeting room setup, monitoring workplace supplies and refreshments, and addressing day-to-day administrative needs.
  • Partner with facilities, property management, and internal support teams to resolve workspace concerns and support a productive office environment.
  • Assist with onboarding activities by coordinating equipment requests, badge access, workspace arrangements, and communication with IT and related teams.
  • Support vendor and supply coordination, including ordering office items, tracking requests, and maintaining effective external partner communication.
  • Update and manage organizational charts and other administrative records to help keep department information accurate and current.
  • Act as a trusted liaison for senior leadership by handling requests effectively, protecting confidential information, and escalating issues when appropriate.
