Job Description
Job Summary The Assistant Business Association Manager (ABAM) provides administrative and operational support to a team of Business Association Managers. The ABAM helps keep client work organized, documented, and moving forward so the managers can focus on Board relationships, strategic planning, financial oversight, and other higher-level association matters. This position supports multiple condominium and homeowners' associations and works closely with managers, Board members, homeowners, vendors, onsite personnel, and internal departments. The successful candidate will be highly organized, responsive, comfortable managing competing priorities, and proactive in following up on outstanding items. The ABAM does not independently manage an association portfolio but may take ownership of assigned administrative processes and projects under the direction of the Business Association Managers. Responsibilities and Duties Administrative Responsibilities Provide administrative support to multiple association clients and their assigned managers. Prepare, proofread, distribute, and organize client correspondence, meeting materials, notices, compliance letters, records, and other documents. Maintain calendars, deadlines, task lists, and action items, following up to help ensure work is completed on time. Respond to routine administrative requests and assist with special projects and reporting as assigned. Meeting and Governance Support
• Assist with Board, annual, and budget ratification meetings, including meeting preparation, mailings, check-in, balloting, and follow-up. Track Board directives, recurring association requirements, and management commitments through completion. Assist with drafting procedures, policies, and other governance-related materials at the manager's direction. Vendor and Project Coordination Coordinate with vendors and service providers to schedule authorized inspections, maintenance, repairs, and other services. Assist with obtaining proposals, preparing bid comparisons, and tracking contracts, insurance documents, project schedules, and vendor deliverables. Follow up on outstanding work and promptly escalate delays or matters requiring management or Board direction. Financial and Reporting Support Assist managers with gathering and organizing information for budgets, financial reviews, audits, reserve studies, and tax preparation. Review invoices and supporting documentation for completeness and route them through the appropriate approval process. Coordinate with accounting to track financial questions, corrections, invoices, and outstanding requests. Qualifications and Skills High school diploma or equivalent required; additional education or relevant professional experience preferred. Prior administrative, property management, association management, project coordination, or customer-service experience preferred. Strong organizational skills and demonstrated ability to manage multiple deadlines and priorities. Consistent attention to detail and accuracy. Strong written and verbal communication skills. Ability to follow through independently and proactively identify items requiring attention. Sound judgment regarding confidential, sensitive, or potentially contentious matters. Proficiency with Microsoft Outlook, Word, Excel, Teams, and other common business applications. Ability to learn association-management software and document-management systems. Community association management experience or industry credentials are a plus but not required.
Pay:
$28.00 - $33.00 per hour Expected hours: 40.0 per week
