Description We are looking for a dependable, part-time Office Assistant to support day-to-day workplace operations. This Contract position will help keep the office organized, responsive, and well prepared for employees, visitors, and service providers. The ideal candidate is comfortable balancing administrative support, front-desk coverage, and facility coordination in a fast-paced environment.
Responsibilities:
- Oversee daily office activities to maintain an orderly, functional, and welcoming workplace environment.
- Coordinate repairs, upkeep, and routine service appointments with maintenance personnel, vendors, and other external partners.
- Monitor the condition of the office space, identify issues before they escalate, and arrange the appropriate support to address them.
- Track office supply and snack inventory levels and place orders to ensure essential items remain stocked.
- Sort and distribute incoming mail, manage outgoing correspondence, and align office support tasks with leadership schedules and onsite activity.
- Answer inbound calls, greet visitors, and provide attentive front-desk assistance to employees and guests.
- Perform clerical support such as filing, document scanning, record organization, and other administrative tasks as needed.
- Plan and prioritize short-term office needs throughout the week to support smooth operations and a positive workplace experience.part Requirements
- Previous experience in an office assistant, receptionist, or administrative support role.
- Ability to manage inbound calls, visitor interactions, and routine clerical duties with professionalism.
- Experience handling document scanning, filing, and general office record maintenance.
- Strong organizational skills with the ability to manage multiple priorities and respond to changing office needs.
- Comfortable coordinating with vendors, maintenance providers, and internal staff.
- Proficiency with standard office equipment and basic administrative software.
- Reliable communication skills and a service-oriented approach to supporting workplace operations.
