Experience with project-based housing, HUD programs, or affordable housing is preferred. Bilingual English and Spanish skills are also preferred. The Property Management Assistant will support Gateway staff with the daily operations of the properties and communities we manage. This position will communicate with residents, applicants, property owners, cooperative board members, vendors, technical assistance providers, and other professionals. Primary Responsibilities Answer phone calls, respond to emails, and assist residents and applicants Schedule appointments and maintain organized calendars Prepare letters, notices, reports, and other property-related documents Assist with applications, certifications, recertifications, and resident files Help maintain compliance with project-based housing and HUD requirements Track deadlines and request missing documentation from residents Maintain accurate electronic and paper records Assist with monthly reports, income documentation, and other housing paperwork Coordinate vendors, maintenance requests, inspections, and property access Obtain bids, insurance information, and other required vendor documentation Prepare and serve compliance notices when directed Communicate with cooperative board members and technical assistance providers Provide translation assistance for Spanish-speaking residents when needed Assist with other administrative and office responsibilities as assigned Occasional evening meetings and local travel to managed properties or communities may be required. Preferred Qualifications Experience with project-based housing, HUD housing, Section 8, or affordable housing programs Bilingual in English and Spanish Previous property management or administrative experience Strong written and verbal communication skills Excellent organization and attention to detail Ability to manage multiple responsibilities and deadlines Ability to work independently and as part of a team Professional, dependable, and comfortable communicating with the public Basic knowledge of Microsoft Office, email, and electronic recordkeeping Benefits Flexible schedule Paid time off
