The Department of Children, Youth and Families (DCYF) is looking for an Administrative Assistant 4 (AA4) to Provide administrative and confidential secretarial support to the Superintendent for Juvenile Rehabilitation (JR) at Echo Glen Children's Center. The Opportunity:
You will supervise staff and coordinate clerical services as well as perform complex secretarial duties. There is frequent and direct contact with clients, the public, staff, and other agencies. You will act as the regional representative for personnel-related functions and on statewide committees, and establish office support procedures, standards, priorities and deadlines. Some of what you'll do: Assist the Superintendent, all Associate Superintendents and RN 3 Health Center Manager in day-to-day administrative tasks, travel, and budget. Prepare and compose correspondence, reports or documentation for response to assigned inquiries, representing the Superintendent's viewpoint, and exercise signature authority when appropriate. Coordinate, manage, and prioritize the Superintendent's email, calendar, and schedule. Sort, read, and annotate incoming mail and business correspondence, determining next steps and action items. Act as the primary contact for, and responsible for receiving, monitoring and addressing inquiries from the Public, media, special interest groups, the community and other agencies. Designated Legal Liaison Officer (LLO) for the facility serves as the conduit between the Attorney General's Office (AGO) and facility staff. Facilitate and track all criminal history background checks, personnel action notices. Maintain tracking and filing system for all reports, incident reports, employee investigations and outcomes. Serve as the main point of contact for EGCC with the Attorney General's office. Assign work and set due dates for Managers; track assignment timelines and assess content of the information. Collaborate with administrators, Human Resources, managers and staff by participating in personnel support and the development and implementation of employee wellness services and recognition programs.
Required Qualifications:
A combination of education/experience totaling four years. OR A Bachelor's degree or four years of administrative experience. OR One year as an Administrative Assistant 3. OR Two years as an Administrative Assistant 2. AND The ability to take action to learn and grow. The ability to take action to meet the needs of others. In addition to those required qualifications, our ideal applicant will also have some or all of the following: A Bachelor's degree in business administration, public administration or closely aligned field from an accredited institution whose accreditation is recognized by the U.S. Department of Education or the Council of Higher Education Accreditation (CHEA) or a foreign equivalent, and three years of administrative or supervisory experience. Previously demonstrated commitment to equity, diversity, and inclusion. Proficiency in applications such as, SharePoint, Zoom, MS Outlook, MS Word, MS Excel, MS PowerPoint, MS OneNote, MS Visio, and Adobe Acrobat, and the ability to create presentations, complex charts, graphs, and electronic forms. Ability to interpret and apply in-depth travel guidelines, SAAM policies, and OFM regulations. Ability to maintain confidentiality of client and personnel information and to analyze sensitive issues in an objective and realistic manner and provide advice and consultation on these issues. Note:
Most agencies follow the civil service rules covering leave and holidays for exempt employees even though there is no requirement for them to do so. However, agencies are required to adhere to the applicable RCWs pertaining holidays and leave. Military Leave Washington State supports members of the armed forces with 21 days paid military leave per year. Bereavement Leave Most employees whose family member or household member dies, or for loss of pregnancy, are entitled to five (5) days of paid bereavement leave.
