Job Description

Position Summary The Installation Administrator Assistant provides administrative and operational support to the Installation Department with a primary focus on subcontractor recruiting, warranty, repairs, and customer service . This position is responsible for maintaining an active and reliable network of qualified subcontractors, ensuring required licenses and documentation remain current, and serving as a primary point of contact for incoming phone calls and general installation inquiries. The ideal candidate is highly organized, professional, responsive, and comfortable communicating with subcontractors, customers, employees, and management. Essential ResponsibilitiesSubcontractor Recruiting & Retention Recruit and identify qualified subcontractors to support installation operations and company growth. Contact prospective subcontractors, explain company requirements, and coordinate the onboarding process. Maintain positive relationships with existing subcontractors and installation crews. Regularly communicate with subcontractors regarding work opportunities, scheduling, documentation, and company requirements. Assist with resolving subcontractor concerns and escalate issues to the Installation Manager when necessary. Monitor subcontractor availability and help identify potential coverage issues. Perform virtual onboarding. Hold safety trainings. Subcontractor Licensing & Compliance Maintain accurate records of all subcontractor licenses, insurance certificates, W-9s, agreements, and other required documentation. Follow up with subcontractors to ensure expired or expiring documents are renewed promptly. Track lead certification. Communicate compliance issues to the Installation Manager and appropriate departments. Repairs Project Coordinator Manage the Critical Leak Emergency Line Manage the Repair Line Act as the central point of contact between customers and inspectors. Manage leaks and repairs schedule and coordinating. Permits Apply for permits and manage permit applications through completion. Warranties/Claims Register warranties for products Support warranty claims for customer Manage warranty email Telephone & Administrative Support Answer and professionally manage incoming company phone calls. Direct calls to the appropriate department or employee. Take accurate messages and respond to routine inquiries when appropriate. Assist with general Installation Department administrative duties. Enter and update information in company systems and spreadsheets. Qualifications 2+ years of administrative, office, customer service, recruiting, construction, or related experience preferred. Experience working with subcontractors, contractors, construction companies, or home improvement companies is a plus. Strong telephone and verbal communication skills. Excellent organizational and follow-up skills. Ability to manage multiple priorities and meet deadlines. Strong attention to detail, particularly with licensing and compliance documentation. Professional and personable communication style. Comfortable making outbound calls and recruiting subcontractors. Proficient with Microsoft Office, email, spreadsheets, and general computer systems. Ability to maintain confidentiality and handle sensitive business information. Ability to work independently while supporting the Installation Department as part of a team.
