It will be in-person on Thursday and Friday and then as needed. There is the opportunity for growth, additional tasks and as many additional roles as you would like to take on. Our practice provides alternative and supportive therapies and neurofeedback to people who are often going through challenging periods in their lives, including mental and emotional difficulties. Because of this, we believe the way we interact with clients matters just as much as the work we do behind the scenes. The ideal person for this position is professional and organized, but also genuinely caring, patient, and comfortable working with people who may be experiencing a difficult time . You'll play an important role in creating a welcoming, respectful, and supportive environment for our clients. This is a hands-on role in a busy office where no two days may look exactly the same. You'll help keep daily operations running smoothly while providing a positive experience for everyone who walks through our doors. Responsibilities Manage front-desk responsibilities and help maintain a welcoming office environment. Answer phones and respond to client inquiries by phone, email, and in person. Schedule and coordinate appointments and help maintain team calendars. Assist with day-to-day administrative and clerical tasks. Maintain accurate records and assist with data entry and office paperwork. Manage office supplies, monitor inventory, and coordinate ordering when needed. Assist with various hands-on office tasks to keep the workplace organized and running efficiently. Handle sensitive and confidential information with discretion and professionalism. Protect client privacy and follow applicable HIPAA requirements and office privacy procedures . Assist with electronic health record (EHR) systems and other office software. Support the team with other administrative tasks as needed. Running/ monitoring mHBOT, which you will receive training for. Assisting with neurofeedback related tasks, which you would also be trained for. What We're Looking For Previous office, administrative, customer service, or personal assistant experience is preferred. Strong computer skills and comfort learning new software. Familiarity with Microsoft Office or similar productivity software. Excellent organizational skills and the ability to manage multiple tasks in a busy environment. Strong written and verbal communication skills. Professional and friendly phone etiquette. Excellent attention to detail. Ability to maintain confidentiality and handle sensitive information appropriately. Dependable, punctual, and able to work independently while also being a team player. A calm, patient, and compassionate approach when interacting with clients. Comfortable working with people from a variety of backgrounds and life circumstances.
