The Classic at Hillcrest Greens is a resident‑centered senior living community offering Assisted Living and Memory Care. We are seeking a highly organized, tech‑savvy Administrative Assistant to support our leadership team and serve as the welcoming face of our community at the front desk. This role is perfect for someone who excels in office administration, customer service, AI‑assisted productivity, and professional communication—all while contributing to a warm, supportive environment for residents, families, and staff. Position Summary The Administrative Assistant manages front desk operations, provides essential administrative support, assists with scheduling and communication, and helps ensure smooth daily operations throughout the community. This position requires strong time management, excellent computer skills, and the ability to multitask in a fast‑paced environment. The role also participates in the Manager on Duty rotation for holidays and weekends. Key Responsibilities Front Desk Operations — Greet visitors, answer multi‑line phones, manage check‑ins, and deliver exceptional customer service. Administrative Support — Filing, data entry, document preparation, and maintaining organized office systems. AI‑Assisted Productivity — Use AI tools to streamline scheduling, communication, document creation, and workflow efficiency. Microsoft Office Expertise — Create and edit documents, spreadsheets, presentations, and reports. Tech‑Savvy Problem Solving — Troubleshoot basic technology issues and support staff with digital tools. Canva Design — Create flyers, announcements, and visual materials for internal and external communication. Scheduling & Calendar Management — Coordinate appointments, reminders, and leadership team schedules. Communication Support — Draft emails, announcements, memos, and resident communications with professionalism and accuracy. Office Coordination — Maintain office supplies, manage mail, and support daily operations. Customer & Resident Support — Address inquiries promptly and maintain positive relationships with residents and families. Manager on Duty Rotation — Participate in scheduled holiday and weekend rotations. Qualifications Experience as an Administrative Assistant, Office Assistant, Receptionist, or similar role. AI Fluency — Comfortable using AI tools for communication, scheduling, and productivity. Tech Savvy — Strong computer skills and ability to learn new software quickly. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience using Canva to create professional materials. Excellent time management and ability to prioritize multiple deadlines. Strong written and verbal communication skills with professional phone etiquette. Highly organized, detail‑oriented, and dependable. Friendly, professional, and customer‑service oriented. Ability to work independently and collaboratively. Knowledge of medical or healthcare office environments is a plus.
