Reporting directly to the Company Local Purveyor, the Administrative Assistant will perform routine clerical and administrative functions such as AR/AP, invoices, organizing and maintaining paper and electronic files, and coordination of corporate scheduling requests for training. He/she must be able to work with minimal supervision, be highly self-motivated, and display professional maturity when dealing with company-related materials. He/she must possess a demonstrated ability to manage and balance workloads and prioritize tasks and projects in a fast-paced environment while handling multiple and competing priorities.
Job Description:
Essential Duties and Responsibilities Coordinating and communicating schedule requests from the corporate office AR/AP Reconciliation Check deposits Timekeeping and adjustments Team expense reports and submissions Third-party auditing software tracking/compliance for daily operations, specifically GoSpotCheck Maintaining a calendar of events for route operations Assisting with a schedule of the route purveyor Inventory office supplies, haberdashery ordering Organizing invoices, expense reports, vendor information, etc. Printing/Ordering program materials for customers/team as needed, for ship or pick up Assisting in organizing team and store communications on bi-weekly initiatives Sending/receiving mail Researching new customers Researching professional services/vendors to solicit quotes and information Basic functionality with limited access to Xtreme Education and Experience High School diploma plus additional specialized training in general administrative practices. One (1) to three (3) years related experience. Must be proficient in MS Office applications, specifically Word and Excel, and knowledge of PowerPoint applications. Strong communication and customer service skills. Ability to use a printer/scanner with proficiency Polite and pleasant communication with customers and teams via phone and email Strong organizational skills, with physical files and digital content Process-oriented Discretion of sensitive information being processed with the team and customers Ability to work independently and as a team Effective time management
