Job Description
Administrative Assistant / Office Coordinator Tower MRL LLC — Cottage Grove, WI Full-Time | $21-$25 per hour, based on experience Tower MRL LLC is seeking an organized, dependable Administrative Assistant / Office Coordinator to provide front-office and administrative support across our operations from our Cottage Grove office. This position serves as a central point of contact for employees, new hires, vendors, and incoming requests. The role combines reception and general office administration with onboarding, billing support, fleet administration, compliance reporting, document management, and support for field and office operations. What You'll Do
- Answer and route incoming calls, messages, voicemail, and faxes and provide general front-desk coverage.
- Receive, scan, distribute, prepare, and send mail and packages; coordinate FedEx and UPS pickups and deliveries.
- Maintain office supplies, paper files, office equipment, phones, and other general office needs.
- Prepare, organize, route, upload, and distribute company documents, job folders, and field materials.
- Prepare new-hire orientation materials, greet new employees, provide office tours, and collect and route onboarding documents and certifications.
- Assist employees with company applications and coordinate setup of company phones and computers.
- Provide billing and accounting support, including entering bills, tracking payment reminders, organizing credit card receipts, and assisting with reconciliation.
- Maintain vendor and subcontractor records and help obtain updated documentation.
- Support fleet administration, including vehicle rosters, registrations, vehicle offboarding, toll passes, windshield repairs, and related records.
- Create jobs and maintain supporting documentation for project managers and field crews.
- Assist with employee certification tracking, pesticide reporting, safety-program administration, and other company compliance requirements.
- Organize materials, supplies, and meals for company training events.
- Assist with employee travel arrangements and other scheduling or logistical needs.
- Provide occasional shop, warehouse, inventory, pickup, and delivery support as needed.
- Perform other general administrative and operational duties as assigned. What We're Looking For
- 1+ year of administrative, office coordination, or similar professional experience preferred.
- Strong proficiency with Microsoft 365, including Outlook, Excel, Word, and Teams.
- Strong organization, prioritization, follow-through, and problem-solving skills.
- Clear written and verbal communication skills.
- Ability to learn new systems quickly and manage multiple competing priorities.
- Ability to type approximately 50 words per minute.
- Ability to lift and carry boxes, packages, equipment, and materials weighing up to 50 pounds.
- Ability to operate a forklift or obtain company-provided certification.
Preferred:
Construction or telecommunications industry experience; advanced Microsoft 365 skills; Power Automate experience; formal administrative training or certification. Schedule Monday through Friday, 8:00 AM-5:00 PM, with a lunch break. Expected 40-45 hours per week. This is an in-person position based at our Cottage Grove office. Compensation & Benefits- $21-$25 per hour, based on experience
