Job Description

This is a civilian position and does not require military service or enlistment. Position Summary The General Clerk III provides focused administrative assistance, clerical, and property accountability support to the Property Book Officer (PBO) at Fort McCoy. This position performs a variety of routine and moderately complex administrative tasks, including data entry, document processing, recordkeeping, customer service, and office coordination. The role requires strong attention to detail, the ability to follow established procedures, and the capability to recognize situations that require elevation to a supervisor. Assist the property book manager The General Clerk III works independently on daily tasks while supporting a fast‑paced, compliance‑driven work center. Administrative & Clerical Support Administrative tasks — Review official documents and verify information for accuracy and completeness. Document processing — Process forms, authorizations, and property documentation in accordance with established PBO procedures. Record maintenance — Prepare, update, and maintain logs, rosters, spreadsheets, hand receipts, annexes, and status reports. Correspondence drafting — Compose routine business communications and administrative correspondence for the PBO. Suspense tracking — Maintain suspense files, track deadlines, and prepare control documents. Data entry — Perform data entry using office software and automated Army systems. Document management — File, scan, copy, and organize documents in both digital and physical formats. Customer Service & Communication Provide professional, courteous assistance to customers, visitors, and staff. Answer multi‑line phones, route calls, and respond to inquiries. Communicate clearly with individuals at all levels in a structured office environment. Assist customers with documentation requirements and procedural questions. Document Review & Quality Control Review documents for accuracy, completeness, and compliance with established standards. Identify discrepancies and elevate issues to the supervisor when required. Support quality control processes within contractual requirements. Office Coordination Assist with scheduling, tracking, and coordinating office activities. Support workflow by organizing tasks, setting priorities, and ensuring timely completion. Minimum Qualifications Education requirement — High School Diploma or GED. Clerical experience — Two (2) years of experience in clerical, administrative, or office support roles. Army property book experience — Prior experience supporting Army property accountability operations, including hand receipts, inventories, and asset documentation. GCSS‑Army familiarity — Ability to navigate or support actions within GCSS‑Army or similar Army automated accountability systems. I nstruction interpretation — Ability to interpret written instructions, manuals, and procedural guidance. Microsoft Office proficiency — Proficiency with Microsoft Word, Excel, and Outlook. Typing proficiency — Ability to type 45 words per minute. Communication skills — Strong written and verbal communication skills. Independent work capability — Ability to work independently, prioritize tasks, and meet deadlines. Employment eligibility — Must meet U.S. employment eligibility requirements. Installation access — Must be able to obtain installation access and pass a background check. Driver's license — Valid driver's license with no major infractions.
