Job Description

Position Overview The Administrative Assistant plays a vital role in ensuring the smooth operation of our firm by providing professional, organized, and efficient administrative support to our partners, accountants, and clients. This individual is often the first point of contact for clients and must demonstrate exceptional communication skills, attention to detail, and a high level of confidentiality. Key Responsibilities
  • Client Support
  • Greet clients and visitors in a professional, friendly manner.
  • Manage incoming calls, emails, and correspondence.
  • Assist in client onboarding and maintaining client files.
  • Schedule client meetings and coordinate calendars.
  • Administrative & Office Management
  • Handle daily office operations, including mail processing.
  • Maintain electronic and physical filing systems following firm standards and confidentiality protocols.
  • Support the coordination of internal meetings, staff events, and training sessions.
  • Accounting & Tax Support
  • Assist with client data collection and document organization during tax season.
  • Track project and workflow status within our firm management system.
  • Support accountants with data entry, e-filing, and preparation of client packets.
  • Manage deadlines and ensure timely delivery of client deliverables.
  • Process payments, track receivables, and assist with billing support.
Qualifications Experience:
2+ years of administrative experience, preferably in an accounting, legal, or professional services environment. Skills
  • Proficiency in Microsoft Office.
  • Experience with accounting/tax software is a plus.
  • Excellent organizational, multitasking, and time management abilities.
  • Strong verbal and written communication skills.
  • High level of integrity and confidentiality in handling sensitive information. Key Competencies
