In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, enhance customer interactions, and contribute to a productive work environment. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service with professional phone etiquette. Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, maintaining organized filing and record-keeping systems. Assist with calendar management and scheduling appointments for staff or clients, ensuring timely follow-up and efficient time management. Support office management activities by handling clerical tasks like proofreading documents, filing paperwork, and managing office supplies inventory. Provide administrative support including bookkeeping, invoicing, and basic bookkeeping tasks using QuickBooks or similar accounting tools. Coordinate with team members to ensure smooth daily operations, including managing incoming correspondence and supporting personal assistant duties as needed. Maintain a high level of professionalism through excellent organizational skills, technical proficiency, and attention to detail in all tasks. Qualifications Proven experience in an office environment with strong clerical skills and familiarity with office management procedures. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy. Experience with data entry, proofreading, filing systems, and calendar management. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Strong customer service skills with the ability to handle phone inquiries professionally and courteously. Previous experience as a receptionist—medical or dental— or personal assistant roles is highly desirable. Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous. Demonstrated ability to manage multiple responsibilities efficiently while maintaining attention to detail and productivity software proficiency.
