Job Description

Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This role is vital in ensuring the smooth and efficient operation of our office environment. As an Office Assistant, you will be the first point of contact for visitors and callers, manage administrative tasks, and support various office functions with enthusiasm and professionalism. Your proactive approach and excellent organizational skills will help foster a welcoming atmosphere and streamline daily operations. Responsibilities Greet visitors warmly and manage front desk duties with professionalism and courtesy Answer multi-line phone systems promptly, directing calls efficiently using proper phone etiquette Manage calendar appointments, schedule meetings, and coordinate office events or activities Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software Handle incoming and outgoing correspondence, including proofreading documents for accuracy and clarity Support bookkeeping tasks such as invoicing or basic QuickBooks entries as needed Provide exceptional customer service by assisting clients or vendors with inquiries and support requests Maintain organized office supplies inventory and coordinate procurement when necessary Assist with clerical tasks such as photocopying, scanning, and mail distribution Support other administrative duties including proofing documents, managing office management systems, and supporting personal assistant responsibilities when required Requirements Proven experience in an office environment or administrative role with strong clerical skills Proficiency in Google Workspace tools Familiarity with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are a plus to serve diverse clients and team members effectively Strong organizational skills with keen attention to detail; ability to prioritize tasks efficiently Experience with data entry, filing systems, proofreading, and general office management practices Knowledge of QuickBooks or bookkeeping experience is desirable but not mandatory Excellent computer literacy combined with strong time management skills Previous experience in customer service or reception roles such as dental or medical receptionist is advantageous Personal assistant or calendar management experience is a plus for supporting executive needs Join us as an Office Assistant to be a key part of a lively team dedicated to excellence!
