Job Description
Help keep City services running smoothly while serving the Oshkosh community The City of Oshkosh is seeking a detail-oriented and customer-focused Administrative Assistant to support the Department of Public Works Operations. This position provides administrative, customer service, payroll, purchasing, records, and operational support while serving as a key point of contact for residents, City staff, vendors, and contractors. The ideal candidate is organized, accurate, professional, and able to manage multiple priorities in a fast-paced municipal office environment. Key Responsibilities Coordinate daily administrative office functions for Public Works Operations. Receive, document, route, and track resident service requests and concerns. Prepare reports, correspondence, forms, notices, meeting materials, service request data, and other documentation. Maintain records, logs, databases, spreadsheets, schedules, calendars, and confidential files. Support communication among managers, supervisors, field crews, office staff, and other City departments. Schedule meetings, trainings, appointments, and conferences; prepare meeting notes or minutes as assigned. Process payroll, attendance, timekeeping, leave, and overtime records. Process invoices, receipts, payment requests, purchase orders, reimbursements, and other financial documents. Track expenditures, supplies, purchases, and budget-related information. Assist with purchasing office supplies, operational materials, uniforms, safety items, and other approved items. Perform other related duties as assigned. Minimum Qualifications Associate's or vocational degree in Business, Accounting, or a related field. Bachelor's degree preferred. Three to five years of progressively responsible secretarial or administrative experience. Valid Wisconsin driver's license. What You'll Bring Strong customer service, communication, and organizational skills. Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint. Ability to learn City software systems, including payroll, purchasing, records, service request, work order, and asset management systems. Ability to maintain accurate records and prepare reports. Knowledge of payroll, budgeting, and purchasing procedures. Ability to handle confidential information appropriately. Ability to manage multiple priorities, work independently, meet deadlines, and exercise sound judgment. Ability to interact tactfully and professionally with residents, employees, vendors, contractors, and the public. Benefits Competitive salary and comprehensive benefits package.
