Office Coordinator Full-Time Viroqua, WI About the Role Sleepy Hollow Commercial Truck Center is looking for a dynamic, organized, and personable Office Coordinator to be the welcoming face and efficient administrator of our front office. This vital role keeps our operation running smoothly — you'll be the first voice customers hear while managing daily office functions, coordinating service appointments, and supporting our accounting and administrative operations. The ideal candidate is energetic, detail-oriented, and brings excellent organizational and interpersonal skills to a fast-paced commercial truck environment. Key Responsibilities Greet visitors, clients, and vendors warmly while maintaining professional phone etiquette on a multi-line phone system Schedule and coordinate commercial truck service appointments Process accounts payable invoices and maintain accurate vendor records Cashier customers at point of sale and reconcile daily transactions Perform data entry using Microsoft Office and dealership DMS software for accurate record-keeping Maintain organized filing systems and manage correspondence to ensure easy retrieval of information Support office management activities including supply inventory, mail distribution, and clerical tasks Proofread documents, prepare reports, and provide administrative support to management as needed What We're Looking For Proven experience in office management, front desk, or administrative roles Proficiency in Microsoft Office Suite (Word, Excel, Outlook); dealership DMS experience a plus Strong customer service skills with the ability to handle inquiries professionally by phone or in person Experience with multi-line phone systems, data entry, filing, and calendar management Accounts payable experience High attention to detail, strong time management, and ability to multitask in a fast-paced environment Reliable, professional, and a collaborative team player with a positive attitude
