Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle incoming calls, and transfer or take messages accurately Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications Perform data entry tasks with precision, including invoicing, record keeping, and updating databases such as QuickBooks Assist with calendar management and scheduling appointments for team members or executives Support office management tasks such as supply ordering, inventory tracking, and maintaining office equipment Provide clerical support through proofreading documents, preparing correspondence, and ensuring accuracy in all communications Offer customer service support by addressing inquiries promptly and professionally, whether via phone or email Handle bookkeeping duties including basic bookkeeping entries and reconciling accounts as needed Support medical or dental reception duties if applicable, including patient check-in and appointment coordination Skills Proficiency in QuickBooks for bookkeeping and financial record management Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are a plus to effectively communicate with diverse clients and team members Experience with office management tasks such as filing, data entry, calendar management, and supply ordering Exceptional phone etiquette with experience handling multi-line phone systems and customer support calls Demonstrated clerical experience with proofreading, document preparation, and record keeping Time management skills that enable prioritization of tasks to meet deadlines promptly Personal assistant or medical/dental receptionist experience is advantageous for specialized roles Join us in a role where your proactive attitude and meticulous approach will make a real difference! Pay:
