Job Description

Administrative & Intake Assistant The Miley Legal Group is seeking a professional, dependable, and highly organized Administrative & Intake Assistant to join our team. This position serves an important dual role within the firm, providing administrative support while also serving as one of the first points of contact for current and potential clients. The ideal candidate will have excellent communication and customer service skills, strong attention to detail, and the ability to handle sensitive and confidential information with professionalism and compassion. We are looking for someone who takes initiative, works well as part of a team, and genuinely enjoys helping people. Key Responsibilities Client Service & Intake Provide exceptional service to current and potential clients by phone, in person, and through electronic communication. Answer incoming telephone calls professionally and courteously. Greet clients, potential clients, vendors, and other office visitors. Conduct initial intake calls with potential new clients and gather accurate and complete information regarding their potential claims. Follow established intake procedures and properly document all information in the firm's case management software. Assist with preparing, sending, and following up on client contracts and other intake documents. Promptly follow up with potential clients regarding outstanding information, documents, or contracts. Return client calls and provide appropriate status updates when directed or authorized. Conduct follow-up calls to maintain strong communication and client satisfaction. Recognize urgent or time-sensitive matters and promptly bring them to the appropriate team member's attention. Help create an exceptional client experience during every interaction with the firm. Administrative Responsibilities Accurately document client, potential client, vendor, and other relevant communications in the firm's case management software. Maintain organized and accurate electronic client files. Process, scan, save, and properly document incoming mail and correspondence. Maintain and update required firm reports, spreadsheets, and tracking systems. Assist with general office organization and administrative projects. Monitor office supply inventory and order supplies as needed. Assist attorneys, paralegals, management, and other team members with administrative needs as requested. Maintain a professional and organized reception and common office area. Perform other duties and special projects as needed to support the efficient operation of the firm. Qualifications & Experience Prior administrative assistant or comparable office experience required. Prior customer service experience strongly preferred. Prior intake, call center, receptionist, or professional telephone experience is preferred. Experience in a law firm, medical office, insurance office, or other professional service environment is a plus. Sales experience is a plus, particularly experience involving telephone communication, relationship building, or client conversion. Bachelor's degree preferred but not required. Required Skills & Qualities The successful candidate must: Have exceptional customer service and interpersonal skills. Possess excellent verbal and written communication skills. Be comfortable speaking with people who may be injured, upset, frustrated, or experiencing difficult circumstances. Have strong telephone skills and a professional, friendly demeanor. Be proficient with computers, Microsoft Office, email, and other common business technology. Be comfortable learning and using case management and other software systems. Have exceptional organizational skills and attention to detail. Be able to accurately enter, maintain, and retrieve information. Be able to manage multiple responsibilities and prioritize tasks in a fast-paced environment. Be dependable, punctual, and accountable. Be a self-starter who can identify what needs to be done and take appropriate initiative. Work well independently while also being a strong team player. Be receptive to feedback and willing to learn new procedures and responsibilities. Exercise good judgment and professionalism. Maintain strict confidentiality regarding all client, case, employee, and firm information. $35,000.00 - $36,500.00 per year
