Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Duties Manage front desk responsibilities, greeting visitors and clients with a friendly, professional demeanor Operate multi-line phone systems, answer inquiries, direct calls efficiently, and provide excellent customer service Handle data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for accurate record keeping Organize and maintain files, documents, and records through effective filing systems and digital organization tools Support office management activities including calendar management, appointment scheduling, and meeting coordination Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record reconciliation Provide clerical support including proofreading documents, preparing correspondence, and managing office supplies Skills Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software Familiarity with QuickBooks or similar accounting software is a plus Exceptional phone etiquette with experience managing multi-line phone systems in a professional setting Bilingual abilities (English/Spanish or other languages) are highly desirable to serve diverse clients effectively Strong time management skills to prioritize tasks efficiently in a fast-paced environment Attention to detail for proofreading documents and maintaining accurate records Experience in customer service roles such as medical or dental receptionist or personal assistant positions is advantageous Join us to be an essential part of an energetic team dedicated to excellence!
