Duties Greet visitors and clients with professionalism and a friendly demeanor at the front desk, ensuring positive first impressions Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette Perform data entry tasks accurately using Microsoft Office applications and bookkeeping software such as QuickBooks Handle confidential information with discretion while maintaining organized filing systems and records Assist with calendar management, scheduling appointments, and coordinating meetings for staff and executives Support office management activities including supply inventory, order processing, and general administrative tasks Provide exceptional customer service by addressing client needs promptly and professionally, both in person and via phone or email Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy in general Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent communication skills, including bilingual abilities (specify languages if applicable), with a focus on phone communication and customer support Strong data entry skills with high accuracy; ability to proofread documents thoroughly Demonstrated ability to handle confidential information responsibly while maintaining professionalism Previous experience working at the front desk or in office management roles is preferred Exceptional time management skills with the ability to prioritize tasks effectively Personal assistant or calendar management experience is a plus Join us as an Office Staff member and be part of a vibrant team dedicated to excellence!
