Job Description

Job Overview We are looking for an Office Assistant to join our team! This role is vital in ensuring the smooth operation of both our office/shop environment. As an Office Assistant, you will be one of the friendly faces at a desk managing administrative tasks and providing support to our team. Your integrity, precision, proactive attitude and excellent organizational skills will help. This paid position offers an exciting opportunity to develop your office management skills while contributing to a local family-owned company culture. Duties Greet visitors and clients professionally at the front desk and over the phone: providing excellent customer service and phone etiquette to assist them Manage multi-line phone systems, respond to emails and direct inquiries efficiently using organizational skills Perform data entry, filing, and document proofreading to maintain accurate records for office and drivers Utilize Microsoft Office/ Excel and other tools for correspondence, reports, route lists Assist with calendar management, mail-sorting, various daily duties Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks, Terra Trash and other similar software Provide administrative support including sufficient communication, copying, scanning, and organizing files to ensure smooth daily operations Requirements Experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office (Word, Excel, PowerPoint) Excellent computer literacy and data entry skills with high accuracy and attention to detail Ability to handle multi-line phone systems with professionalism, honesty and courteous communication Previous experience as a receptionist, personal assistant, or medical/dental receptionist is highly desirable Strong time management skills with the ability to prioritize tasks efficiently Knowledge of bookkeeping software such as QuickBooks is advantageous Demonstrated ability in proofreading, filing, and maintaining confidentiality in sensitive information An accounting background is a major plus!
