Job Description

DUTIES AND RESPONSIBILITIES
PURCHASE
ORDER MANAGEMENT
Create and maintain purchase orders accurately and efficiently. Coordinate with various departments to ensure timely processing of purchase orders. Monitor purchase order statuses and follow up on pending approvals or discrepancies.
ORDER PLACEMENT
Place orders for office supplies, equipment, and other necessary items. Research and compare prices to obtain the best value for purchases. Track orders to ensure timely delivery and resolve any issues or delays.
GENERAL HELP DESK SUPPORT
Serve as the first point of contact for internal inquiries and provide timely and courteous assistance. Address and resolve administrative issues or concerns raised by employees. Direct inquiries to the appropriate department or personnel when necessary.
DOCUMENTAION AND RECORD-KEEPING
Maintain accurate records of purchase orders, invoices, and receipts. Organize and file documents in accordance with company policies and procedures. Assist with generating reports related to purchasing activities as needed.
COMMUNICATION AND COLLABORATION
Collaborate effectively with colleagues and vendors to ensure smooth operations. Communicate order status updates and relevant information to relevant stakeholders. Foster positive relationships with vendors and suppliers.
QUALIFICATIONS
Proven experience as an administrative assistant or similar role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Strong organizational and multitasking skills, with keen attention to detail. Excellent communication and interpersonal abilities. Ability to work independently and collaboratively in a fast-paced environment. Prior experience with purchase order management systems is a plus.
EDUCATION
High school diploma or equivalent required. Additional education or training in administration or a related field is preferred.
