Immediately Job Description The job of Office Specialist is done for the purpose/s of supporting the Facilities site staff by providing general secretarial support, information and/or direction and responding to inquiries from parents, staff, vendors and contractors.
Responsibilities:
Answers incoming telephone calls Coordinates the custodial substitute assignments Coordinates assigned projects and/or processes (e.g. mail, staff training documentation, custodial warehouse orders, purchase orders, construction documentation, training dates, inspection dates, etc.) Distributes a variety of materials (e.g. mail, checks, supplies, messages, etc.) Performs record keeping and clerical functions (e.g. copying, faxing, scheduling, correspondence, work order input and assigning, preventive maintenance recording, EMCS data, data entry into Portfolio Manager, etc.) Prepares documents (e.g. newsletters, flyers, certificates, awards, letters to parents, etc.) Prepares documents (e.g. newsletters, flyers, certificates, awards, memos, letters to staff, etc.) Processes documents, forms, mailings and materials (e.g. pest control data, work orders, SFB reports, annual fire and safety inspection reports, employee attendance, employee hazard communication and safety training tests, etc.) Responds to inquiries of all staff, local, state and/or federal government institutions and/or the public Assists other personnel and performs other duties, as assigned Experience is desired. Full time with Benefits.
Requirements:
High School diploma or equivalent Pre-employment proficiency test Criminal Justice fingerprint/background clearance Ability to read, write and communicate clearly in English This is a 12-month position.
