Responsibilities Office Administration:
Manage daily office operations, including answering phones, greeting customers, scheduling appointments, and handling correspondence. Maintain organized filing systems (physical and digital) for projects, contracts, invoices, warranties, and customer records. Prepare and process quotes, work orders, invoices, and other documentation using Microsoft Office (especially Excel and Word). Support the sales and installation teams with administrative tasks, data entry, and follow-up. Handle accounts receivable/payable support, deposits, and basic financial reconciliation as needed. Order office supplies and maintain showroom presentation.
Construction Permit Technician Duties:
Prepare, review, and submit building permit applications for window, door, and siding projects to Lee County and local municipalities. Coordinate with customers, installers, and permitting offices to gather required documents, plans, and inspections. Track permit status, schedule inspections, and ensure timely approvals and closeouts. Verify compliance with local building codes, hurricane-impact requirements, and energy-efficiency standards. Maintain accurate records of all permits, fees, and inspection outcomes. Research and stay current on permitting processes and code changes in Southwest Florida.
Additional Duties:
Provide exceptional customer service in-person, by phone, and via email. Assist with marketing tasks, such as updating customer databases or social media content. Perform other administrative and clerical duties as assigned. Experience High school diploma or equivalent required; associate's or bachelor's degree in business, construction management, or related field preferred. 2+ years of office administration experience, ideally in construction, home remodeling, or a related industry. Experience with building permits, plans review, or working with local government agencies is a strong plus. Public Notary certification (preferred) or willingness to become a notary. Excellent organizational and multitasking skills with strong attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with CRM or permitting software is a plus. Strong written and verbal communication skills. Ability to work independently and as part of a small, collaborative team. Valid Florida driver's license and reliable transportation.
