Job Description
Job Summary We are seeking a motivated and detail-oriented Mail Clerk to join our dynamic team. In this role, you will be responsible for efficiently managing the receipt, processing, and distribution of mail and packages within our facility. Your proactive approach will ensure timely delivery, accurate sorting, and proper handling of all incoming and outgoing correspondence. Essential Functions Process outgoing mail - printing, folding, stuffing, weighing mail, and affixing postage either by hand or with a meter. Operates office equipment including postage meter, photocopier, scanner, fax & folding machines. Replenishes postage as needed. Choose the most economical means for shipping items using our vendor partners. Maintains records of receipt, mailing dates, and other required information. Process all incoming and outgoing envelopes and packages from various carriers. Open, sort, scan and deliver incoming mail by department and/or employee to ensure timely distribution. Prepare and download various digital files for production. Ensure all copy machines are loaded with paper at the start of the day and before leaving each day. Change toner in all printers throughout office (as needed). Stocks supplies needed and maintains inventory control on all printing and mailing supplies such as paper, toner, staples, shipping forms, postal trays, envelopes, boxes, labels, tape, etc. Assists reception with answering, screening, and directing phone calls to staff; takes messages and transcribes voicemail messages accurately. Performs other related duties as assigned. Competencies Must be detail oriented to verify accuracy and completeness of processed and printed documents for all outgoing mail, ensuring it is properly stamped and dated. Excellent written & verbal communication skills. Strong organizational skills with the ability to multitask and prioritize effectively. Basic understanding of operating instructions and processes for machines. Basic understanding of or the ability to learn locations and organizational structure of the company. Basic understanding of postage rates and regulations. Ability to correctly sort and distribute large amounts of mail. Ability to understand and follow written and oral instructions. Ability to complete projects in a timely manner. Ability to work independently as well as part of a team. Professional demeanor with a positive attitude. Proficiency in Microsoft Office Suite. This role is vital in ensuring that our law firm operates seamlessly, supporting the overall efficiency of our mail distribution system. Pay:
