Job Description

We are looking for a Mail Management Specialist (Tier II) to support high-volume mailroom operations for a payroll services environment in West Henrietta, New York. This Contract position is ideal for someone who is detail-oriented, organized, and comfortable working in a fast-paced setting where accuracy and timely handling of materials are essential. The person in this role will help ensure inbound and outbound mail is processed efficiently while maintaining quality standards and dependable workflow support.
Responsibilities:
  • Coordinate the daily receipt, sorting, preparation, and distribution of incoming and outgoing mail to keep operations moving smoothly.
  • Review mail handling activities for accuracy and completeness, applying quality checks to reduce processing errors and maintain service standards.
  • Prepare documents and mail pieces for delivery, shipment, or internal routing in accordance with established procedures and timelines.
  • Monitor work queues and production volumes, helping prioritize tasks to meet turnaround expectations in a busy mailroom environment.
  • Investigate discrepancies such as misrouted, incomplete, or damaged items and take appropriate action to resolve issues promptly.
  • Maintain organized records of mail activity, tracking information, and workflow updates to support visibility and accountability.
  • Work closely with team members and operational partners to address processing questions and support day-to-day mailroom needs.
  • Follow security, confidentiality, and compliance guidelines when handling sensitive payroll-related materials and documents.
