RECEPTIONIST / FRONT DESK COORDINATOR
Job Posting -- Golden Heart Law, LLC July 22, 2026 About Golden Heart Law Golden Heart Law, LLC is a Fairbanks, Alaska law firm serving clients with care, professionalism, and attention to detail. We are looking for a Receptionist / Front Desk Coordinator who will serve as the welcoming first point of contact for our clients and a dependable hub of daily office operations. Position Summary The Receptionist keeps the front office running smoothly from open to close: greeting clients, managing phones and the calendar, handling incoming mail and documents, supporting new client intake, and processing consult payments. This is a fast-paced, detail-driven role that touches nearly every part of the firm's daily workflow, so the right person will be organized, sharp, self-motivated, and comfortable being the calm, professional face of the firm. What You'll Do
  • Open and close the office each day, keeping the waiting room, conference room, and coffee station clean, stocked, and client-ready
  • Check and respond to voicemail and email, logging messages accurately for attorneys and paralegals
  • Monitor and reconcile the firm's calendar against Court View and confirm client appointments
  • Answer phones by the third ring with a warm, professional greeting; verify caller identity in MyCase and route calls appropriately
  • Gather intake information from prospective clients, run conflict checks, and handle sensitive conversations (including conflicts of interest) with discretion and professionalism
  • Schedule consultations accurately according to attorney availability and firm scheduling rules
  • Open new client files and matters in MyCase and the firm's server, following naming and filing conventions precisely
  • Process consult payments (cash, check, and card) accurately, including proper receipt and trust accounting procedures
  • Scan, sort, and route incoming documents, pleadings, and letters to the correct client files and staff members
  • Support attorneys, paralegals, and the Business Manager as a reliable team member across daily operational needs What We're Looking For
  • Highly organized, with strong attention to detail and follow-through on multi-step processes
  • A self-starter who takes ownership of tasks without needing constant direction
  • Sharp and quick to learn new software, procedures, and firm-specific workflows
  • A genuine team player who supports attorneys, paralegals, and staff and pitches in wherever needed
  • Comfortable managing phones, calendars, and in-person greeting duties simultaneously in a busy office
  • Trustworthy with confidential and sensitive client information
  • Clear, professional, and friendly communicator, in person, by phone, and in writing
