Job Description
Part-Time Legal Receptionist / Intake Assistant Job overview A solo litigation and mediation law practice is seeking a dependable, polished, and client-focused Part-Time Legal Receptionist / Intake Assistant . This person will be the first point of contact for prospective clients, existing clients, opposing counsel, vendors, and office visitors. The ideal candidate is warm and composed, highly organized, accurate with data entry, and able to maintain strict confidentiality. Because the practice handles employment-law and litigation matters, the receptionist will interact with people who may be under significant stress or dealing with difficult workplace experiences. The successful candidate will communicate with empathy and professionalism, maintain calm boundaries when callers are upset or rude, and ensure that every visitor receives a respectful and welcoming first impression. This is an on-site position in a small office environment. The role includes front-desk coverage, multi-line phone support, message-taking, data entry from client forms into the firm's intake system, and light office-support responsibilities. Duties and responsibilities Greet clients, visitors, and other guests warmly and professionally, creating a positive first impression of the firm. Answer and manage incoming calls on a multi-line phone system promptly, courteously, and efficiently. Screen calls, take complete and accurate messages, and route calls or inquiries to the appropriate person. Communicate with prospective and existing clients in a calm, respectful, and empathetic manner. Maintain professionalism when interacting with callers or visitors who may be emotional, frustrated, or occasionally rude. Enter information accurately from client intake forms and other documents into the firm's intake system. Perform accurate data entry using Microsoft Office, spreadsheets, email, and other office productivity software. Scan, upload, organize, and maintain electronic documents and basic office records. Assist with incoming and outgoing mail, deliveries, copying, printing, and other routine administrative tasks. Maintain an organized, professional, and welcoming front-office and reception area. Help ensure office supplies, refreshments, and common areas are stocked, orderly, and ready for clients and visitors. Complete end-of-day tasks, including ensuring the reception area and office are orderly before leaving. Protect confidential client, personnel, financial, and case-related information at all times. Follow firm procedures for handling sensitive information, visitor access, records, and communications. Provide general administrative support in a fast-paced but collegial solo-practice environment. Preferred qualifications Prior receptionist, administrative assistant, front-desk, customer-service, medical-office, professional-services, or law-office experience preferred but not required. Strong telephone etiquette and a professional, friendly in-person presence. Excellent written and verbal communication skills. High degree of discretion, integrity, sound judgment, and respect for confidentiality. Demonstrated reliability, punctuality, organization, and attention to detail. Comfortable working independently and managing routine responsibilities without constant supervision. Proficiency with Microsoft Office, including Outlook, Word, Excel, and basic spreadsheet/data-entry functions. Ability to learn and accurately use a client-intake or case-management system. Ability to remain patient, professional, and compassionate when assisting people in stressful circumstances. Legal-office or employment-law experience is helpful but not required. You are comfortable with routine office tasks, accurate data entry, telephone communication, and maintaining a neat, prepared workspace.
