Job Overview We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This position offers an exciting opportunity to develop your office management expertise while supporting daily operations with enthusiasm and professionalism. Responsibilities Greet visitors, clients, and staff warmly, ensuring a positive and professional first impression at all times Manage multi-line phone systems efficiently, directing calls accurately and courteously Handle incoming correspondence, including emails and mail, with prompt attention and organization Maintain appointment calendars, schedule meetings, and coordinate conference room bookings using Microsoft Office and Google Workspace tools Perform data entry, filing, and proofreading tasks to support administrative functions with precision Assist with office management duties such as inventory tracking, supply ordering, and maintaining cleanliness of the reception area Provide excellent customer support by addressing inquiries promptly and professionally while demonstrating strong phone etiquette and active listening skills Qualifications Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks Demonstrated customer service skills with a friendly demeanor and professional phone etiquette Capable of managing time effectively to prioritize tasks and meet deadlines Previous experience in medical or dental reception is advantageous but not required Join our team to be the friendly face that keeps our office running smoothly!
