About the
Role:
The Receptionist serves as the first point of contact for visitors and clients, playing a crucial role in creating a positive and professional impression of the organization. This position is responsible for managing front desk operations, including greeting guests, handling incoming calls, and coordinating appointments efficiently. The Receptionist ensures smooth communication flow within the office by directing inquiries to appropriate personnel and managing correspondence. Additionally, this role supports administrative tasks such as maintaining records, managing office supplies, and assisting with various clerical duties. Ultimately, the Receptionist contributes to the overall operational efficiency and welcoming atmosphere of the workplace.
Minimum Qualifications:
High school diploma or equivalent. Proven experience as a receptionist or in a similar administrative role. Proficiency in using office equipment such as phones, computers, and printers. Strong communication and interpersonal skills. Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook).
Preferred Qualifications:
Associate degree or higher in Business Administration or related field. Experience with customer relationship management (CRM) software. Bilingual abilities, particularly in Spanish and English. Previous experience in a corporate or healthcare environment. Strong organizational and multitasking skills.
Responsibilities:
Greet and welcome visitors in a courteous and professional manner, ensuring a positive first impression. Answer, screen, and forward incoming phone calls promptly and efficiently. Manage appointment scheduling and maintain the front desk calendar. Handle incoming and outgoing mail and deliveries. Maintain the reception area s cleanliness and organization. Assist with administrative tasks such as data entry, filing, and record keeping. Coordinate with other departments to facilitate smooth office operations. Manage office supplies inventory and place orders as needed. Provide general information to visitors and staff regarding the organization.
