This position combines front-office responsibilities with essential referral coordination to ensure patients receive timely and efficient care.
Position Summary:
As a Receptionist/Referral Coordinator you are in charge of welcoming, registering and getting patients checked in for their appointments. You will gather information about the patient and make sure charts are up to date. You will also be in charge of making appointment for the patient whenever they need to see the provider. You will also manage and facilitate patient referrals to specialists or other healthcare providers, ensuring timely and appropriate care. They handle administrative tasks, communicate with patients and providers, and track referral progress. You will also manage the initial interaction between patient and our organization.
Key Responsibilities:
Front Office/Administrative Duties:
Open the office promptly at the scheduled time, ensuring all lights are turned on and the office is prepared for the day's operations Greet and check in patients in a professional and welcoming manner Schedule patient appointments, including referrals, follow-ups, and consultations Verify patient insurance details and obtain necessary authorizations or referrals Collect co-pays, maintain accurate billing information, and ensure financial records are up-to-date Respond to patient inquiries via phone, email, or in person, routing them appropriately Maintain and organize patient charts in both physical and electronic formats, ensuring HIPAA compliance Keep front office supplies well-stocked and organized Assist with patient check-ins and other in-office communications Ensure all necessary referral documentation is complete and submitted promptly
Referral Coordination:
Coordinate patient referrals to specialists, ensuring all necessary paperwork is completed and submitted to insurance providers Track the status of all pending referrals, following up with patients and specialists as needed Act as a liaison between patients, insurance companies, and healthcare providers to ensure smooth communication regarding referrals Communicate directly with patients to explain the referral process and assist with any questions Maintain an accurate referral database to track the progress and status of all referral activities
Additional Duties:
Maintain a clean and safe office environment Collaborate with the clinical team to ensure timely communication regarding patient care and appointments Support coordination for special clinic days or events Ensure clinical and administrative records are properly updated and filed in the EMR system Assist with general office and administrative tasks as needed Assist providers by performing scribing duties if short-staffed
Qualifications:
High school diploma or equivalent required Previous experience in medical office settings, preferably in reception and/or referral coordination Knowledge of medical terminology and insurance referral processes Proficient in EMR systems, Microsoft Office Suite, and scheduling software Bilingual in English and Spanish Excellent communication, customer service, and organizational skills Ability to handle multiple tasks in a fast-paced environment Must be dependable, professional, and team-oriented Experience in medical office coordination preferred Typing speed of at least 45 WPM Must be able to work occasional
Saturdays Schedule:
Monday - Friday (Full-Time) Occasional Saturdays (as needed)

Hourly Rate:
$18.00/hour •
