Job Summary We are seeking an energetic and organized Front Office Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression at all times Answer multi-line phone systems promptly and professionally, directing calls efficiently Manage appointment scheduling and calendar coordination using office management software Handle data entry tasks accurately within customer databases Maintain organized filing systems, including document proofreading and record keeping Support administrative duties such as word processing, copying, scanning, faxing and mailing Assist with basic bookkeeping tasks Provide excellent customer support by addressing inquiries via phone or in person with professionalism and courtesy Manage office supplies inventory Support other clerical and administrative tasks to enhance overall office productivity Qualifications Proven experience in office management, reception, or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Demonstrated computer literacy with data entry and document proofreading skills Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Strong phone etiquette and communication skills; bilingual abilities are a plus for client interaction Familiarity with multi-line phone systems and front desk operations Experience with QuickBooks or bookkeeping is desirable but not required Prior experience in medical or dental receptionist roles is advantageous but not mandatory Ability to maintain confidentiality and handle sensitive information discreetly Personal assistant or calendar management experience is beneficial for supporting team schedules Join us as a Front Office Receptionist to be the friendly face that keeps our office running smoothly!
