The company owns, renovates, operates, manages, and leases over 1.3 million square feet of premier commercial real estate throughout Southern California. This is an excellent opportunity for someone with strong customer service and administrative skills who thrives in a fast-paced property management or facilities environment. Position Overview The Maintenance Receptionist/ Coordinator will serve as the first point of contact for tenants, vendors, and visitors while supporting the Facilities and Property Management teams with maintenance coordination, work orders, scheduling, and administrative support. The ideal candidate is highly organized, detail-oriented, bilingual in English and Spanish, and able to multi task efficiently while maintaining professionalism and excellent customer service. Key Responsibilities Greet visitors and tenants in a professional and welcoming manner Answer and route inbound telephone calls for multiple commercial properties Create, manage, and close maintenance work orders Generate purchase orders and maintain related documentation Coordinate repairs, maintenance requests, and additional tenant services Schedule routine maintenance tasks with departments and supervisors Perform data entry and maintain accurate records and files Ensure paperwork and maintenance documentation are completed accurately and timely Communicate effectively with tenants, vendors, and internal departments Provide general receptionist and administrative support Assist with special projects and additional duties assigned by management Qualifications Bilingual English/Spanish Minimum 3 years of receptionist, facilities coordination, or property management support experience preferred Strong organizational, multitasking, and follow-up skills Excellent verbal and written communication abilities Professional customer service and interpersonal skills Ability to work effectively in a fast-paced environment Basic knowledge of facilities maintenance procedures and terminology Proficient in Microsoft Office Suite Dependable with strong attendance and punctuality Client offers a competitive compensation package along with excellent benefits Equal Opportunity Employer / Disabled / Protected Veterans The Know Your Rights poster is available here: https://www.eeoc.gov/sites/default/files/2023-06/22-088_EEOC_KnowYourRights6.12.pdf The pay transparency policy is available here: https://www.dol.gov/sites/dolgov/files/ofccp/pdf/pay-transp_%20English_formattedESQA508c.pdf For temporary assignments lasting 13 weeks or longer, the Company is pleased to offer major medical, dental, vision, 401k and any statutory sick pay where required.
