We're looking for a passionate, detail-oriented veterinary receptionist who shares our love for animals and our commitment to excellent service. Veterinary Receptionist - Key Responsibilities Greet clients and patients in a friendly, professional, and compassionate manner. Answer incoming phone calls, emails, and text messages promptly and courteously. Schedule, confirm, and manage appointments for wellness visits, surgeries, and medical procedures. Send appointment reminders, follow-up communications, and hospital announcements to clients. Communicate effectively with pet owners regarding appointments, estimates, treatment plans, and hospital policies. Maintain accurate and up-to-date patient medical records and client information in the practice management system. Process client check-ins and check-outs, including invoicing and payment collection. Coordinate communication between veterinarians, technicians, and clients to ensure continuity of care. Prepare and organize medical records, laboratory results, referrals, and other documents as needed. Monitor and respond to client inquiries regarding prescriptions, medical records requests, and general hospital information. Assist with inventory ordering and office supply management when needed. Maintain a clean, organized, and welcoming reception and lobby area. Uphold client confidentiality and comply with all hospital policies and procedures. Provide exceptional customer service and contribute to a positive experience for clients and their pets. Qualifications Friendly, compassionate, and professional demeanor with a genuine passion for helping clients and their pets. Excellent verbal and written communication skills, with the ability to communicate clearly and effectively with pet owners, team members, and veterinarians. Strong customer service skills and the ability to remain calm, courteous, and efficient in a fast-paced environment. Highly organized with excellent attention to detail and the ability to multitask while maintaining accuracy. Ability to accurately calculate invoices, treatment estimates, payments, and account balances. Proficient in using computers and veterinary practice management software; experience with systems such as Shepherd. Strong problem-solving skills and the ability to handle client concerns professionally and empathetically. Reliable, punctual, and able to work independently as well as part of a team. Ability to learn new software, procedures, and hospital protocols quickly. Comfortable handling confidential client and patient information with discretion and professionalism. Previous veterinary reception, medical reception, or customer service experience is preferred but not required. Bilingual communication skills are a plus. Why Join Us?
