Our ideal candidate will serve as the first point of contact for all incoming calls and visitors. They will ensure all calls are properly screened, prioritized, and routed, while maintaining accurate records and providing administrative support to the operations team.
Key Responsibilities:
Answer and manage a high volume of incoming calls from clients, repo agents, and vendors in a professional and courteous manner. Welcome clients and visitors, creating a positive first impression. Accurately identify the purpose of each call and route it to the appropriate department or team member. Provide basic status updates when authorized and direct detailed account inquiries to the appropriate recovery or compliance staff. Take clear, detailed messages and ensure timely follow-up. Ensure the front desk and reception area are clean, organized, and presentable. Maintain call logs, messages, and contact records in internal systems. Assist with document intake, distribution, and scanning as needed. An understanding of basic administrative and clerical procedures is important. Support the operations and vendor management teams with clerical tasks. Maintain a clean, organized front office environment. Qualifications and Skills High school diploma or equivalent; additional education or certifications are a plus Ability to multitask, prioritize, and handle emergencies effectively Familiarity with office software (Outlook, Word and Excel) and phone systems Bilingual abilities is a plus (Spanish). Self-motivated, able to multitask Strong written and verbal communication skills Previous experience in a receptionist or administrative role is highly valued. Additional requirements Ability to work collaboratively with other staff members and departments. Flexibility to handle changing priorities and peak demands in a busy environment.
