In this vital role, you will be the first point of contact for patients, business partners and callers, ensuring a warm and welcoming professional environment. Your expertise in office management, billing, thoughtful customer service, and administrative support will help keep our operations running smoothly. This position offers an exciting opportunity to utilize your computer skills, working well with others, and organizational talent in a dynamic, independent office setting. Responsibilities Greet visitors warmly and direct them appropriately, maintaining excellent phone etiquette. Provide exceptional customer support by addressing patients' needs promptly and maintaining positive communication channels Relay messages to CEO when responses are required Manage front desk operations: answering calls and emails; coordinating with therapists, patients and business partners when scheduling and confirming appointments; and responding to inquiries with professionalism and efficiency Onboard new patients by verifying outpatient mental health benefits with health insurance providers and conducting new patient questionnaires and facilitating the signing of forms needed Perform database maintenance tasks, create new client files, updating and keeping accurate records. Organize and file documents systematically, ensuring quick retrieval Uphold a responsible approach to all security matters and operations, while following the company's policies and procedures Billing tasks: working with insurance companies and collecting payments from private patients for therapists using card reading tools Coordinate appointments with shredding and water companies. Replenish office inventory when needed Handle clerical tasks: filing, copying, scanning, emailing, and preparing correspondence memos, letters or reports for therapists Occasionally interpret for Spanish speaking patients, working with Psychologist; or scheduling new appointments for Spanish speakers Requirements Bilingual in Spanish abilities are highly desirable to assist diverse patient needs 2+ years of previous experience in customer service or front desk roles is preferred, ensuring outstanding patient interactions. Reliably reports to work on time, prepared to perform duties of this position Proven experience in detail oriented office management or administrative roles with strong clerical and communication skills; encouraged to ask for clarification Demonstrated ability to manage time efficiently while supporting multiple responsibilities simultaneously Strong organizational skills with the ability to prioritize tasks effectively Excellent computer literacy and technical proficiency with Zoom applications for technical assistance when needed by patients and therapists Experience processing payments with point of sale machines Good understanding of billing and accounts receivable processes
