Job Description

Foothills Compassionate Care is seeking a part-time Administrative Assistant/ Receptionist to join our team. This position maintains a front-desk presence at the main entrance, greeting visitors and guests, and determining the nature of the visit. They also ensure guests sign the visit log and provide a name tag if necessary while announcing the guest to the Hospice employee. This position also supports the organization with several other administrative tasks.
Responsibilities:
Answers and screen incoming calls; determine where to direct calls; provides basic information about the organization when possible; forwards calls to the appropriate Hospice individual when necessary. Processes all incoming, outgoing, and interoffice mail; ensures timely delivery of all packages to the addressee. Oversees all meeting room reservations and resolves any potential conflicts; resolves any
ZOOM/HYBRID
reservation conflicts; posts meeting room schedule daily for the main conference rooms. Transfers the phone system to and from the answering service as appropriate; retrieves and processes voice mail messages. Prepares identification/name badges for staff including volunteers. Prepares, maintains and distributes the monthly event calendar. Prepares, maintains and distributes the agency telephone list. Prepares, maintains and distributes the on-call binder used by leadership. Orders, tracks and distributes office and janitorial supplies. Ensures brochures and informational materials in the lobby are well stocked; maintains the lending library. Performs other administrative duties as assigned. Knowledge and Skills - Required Strong basic knowledge of office procedures and office equipment including multi-line phone system, computers, printers, copiers, scanners, etc. Strong working knowledge of Microsoft software Excellent communication skills, problem solving skills and telephone etiquette. Ability to follow written and verbal instructions, strong writing skills. Ability to establish strong working relationships and to successfully function as a member of a team. Ability to prioritize, meet deadlines and succeed in a sometimes-fast-moving environment. Strong attention to detail with emphasis on staying organized in a changing environment. Willingness to build strong organizational understanding to become a strong team member and ambassador within the community.
Job Type:
Part-time Pay:
$17.00 - $21.00 per hour
