Job Description

Orange County ReceptionistBe the Face of an Award-Winning Law FirmAre you a polished, personable professional who enjoys creating a great first impression? As the Orange County Receptionist, you will be one of the first points of contact for clients, attorneys, vendors, and guests-and play an important role in creating a welcoming, professional experience at a leading law firm.

This is a dynamic, people-focused position where no two days are exactly alike. You may be welcoming a client one moment, coordinating a conference room or firm event the next, and helping keep daily office operations running smoothly. You'll work closely with another team member to provide front-desk coverage and support, making this a collaborative role where you're never working alone.

Key ResponsibilitiesReception & Client ExperienceWelcome clients, visitors, and vendors with a warm and professional demeanor.

Answer and route incoming calls promptly and accurately.

Take and relay messages as needed.

Issue and track parking validations for clients and visitors.

Coordinate conference room reservations and meeting schedules.

Office & Administrative OperationsReceive, sort, distribute, and coordinate incoming and outgoing mail.

Keep kitchen and common areas clean, organized, and fully stocked.

Maintain kitchen supply lists and place weekly orders within budget.

Coordinate with building management and cleaning vendors regarding office needs.

Assist with conference room technology and meeting setup.

Events & Administrative SupportAssist with office events, including catering setup, coordination, and cleanup.

Provide general administrative support, including copying, document preparation, compilation, and editing.

Process and route expense and reimbursement documentation.

Monitor office supply inventory and submit orders for approval.

Assist with training new hires on front-desk and office procedures.

What We're Looking ForYou don't need a law degree to succeed in this role. We're looking for someone who is professional, organized, personable, and genuinely enjoys helping others.

High school diploma or equivalent required; associate degree preferred.1-2 years of experience in reception, office administration, or a similar support role.

Law firm or professional services experience is a plus.

Excellent verbal communication skills and professional telephone etiquette.

Friendly, polished, and client-focused personality.

Ability to remain calm and organized in a fast-paced environment.

Strong multitasking skills and the ability to effectively manage competing priorities.

Proficiency with Microsoft Office and Microsoft Teams, with the ability to quickly learn new systems.

Strong attention to detail and organizational skills.

Ability to handle confidential client and firm information with discretion.

Ability to lift and move office supplies and event materials weighing up to 25 pounds.

Schedule & Work EnvironmentThis is a full-time, on-site position based in an Orange County (Irvine, CA) office.
Schedule:
Monday-Friday, 8:00 a.m.-5:00 p.m.

Occasional early arrivals or later departures may be required to support firm events.

The position involves extended periods at the reception desk, along with regular movement throughout the office to assist with meetings, events, supplies, and daily operations.
