About Old Town Artisan Studios Old Town Artisan Studios is a nonprofit organization dedicated to providing positive art experiences for all people, regardless of age, ability, or financial condition. We offer classes, workshops, and community outreach programs that enrich lives through creative expression, both on our campus and throughout the Coachella Valley. Position Summary The Front Desk Associate is the first point of contact for students, families, artists, and visitors at Old Town Artisan Studios. The position runs reception, registration, and point-of-sale operations, supports Paint Your Own Pottery and studio programming, and opens and closes the campus. It requires equal parts hospitality and accuracy. Key Responsibilities
- Greet and assist guests, students, and families in person, by phone, and by email; direct visitors to the appropriate staff member or studio.
- Assist with registration for classes, workshops, camps, and studio time; manage waitlists and cancellations, verify registrations and signed waivers, communicate schedule changes, and notify participants when finished work is ready.
- Schedule and support Paint Your Own Pottery appointments and groups: set up the studio, record pieces and pricing, take payment, and reset and restock between sessions.
- Manage the point-of-sale system; process purchases and apply correct pricing, discounts, and tax.
- Count and balance the cash drawer at open and close; prepare the daily deposit for the safe.
- Maintain accurate student, household, and constituent records in the CRM system.
- Keep guest areas stocked and presentable; receive deliveries and notify the appropriate department head.
- Open and close the campus: unlock and secure studios, restrooms, and gates; set out signage; manage lights, music, and air conditioning; complete daily checklists.
- Support volunteers, events, and other departments; report safety hazards promptly; handle student, donor, and financial information with discretion; perform other duties as assigned. Service and Conduct Standards
- Greet every guest promptly and warmly, and treat all visitors with equal courtesy.
- Welcome guests of every background, ability, age, income, and skill level.
- Stay patient and pleasant in person, by phone, and in writing, including when the answer is no.
- Listen fully, assume good intent, and never argue with or correct a guest publicly.
- De-escalate calmly and involve a supervisor when a concern exceeds front desk authority.
- Extend the same courtesy to coworkers, instructors, volunteers, and artists. Qualifications
- High school diploma or equivalent and one or more years in a customer-facing role such as reception, retail, hospitality, or front office.
- Accuracy handling cash and processing point-of-sale transactions.
- Comfort working daily in web-based systems: registration or CRM platform, point of sale, email, shared calendars, and messaging tools.
- Clear, professional communication, ability to prioritize competing demands and stay composed during busy periods, availability for weekends and occasional evening coverage, and ability to pass a background check.
Preferred:
nonprofit or arts experience, conversational Spanish, familiarity with ceramics or studio arts. Physical Requirements and Work Environment Work is performed on site on a largely open-air campus, including outdoors in seasonal desert heat, and involves frequent standing and walking between studios, regular computer and point-of-sale use, and occasional lifting up to 25 pounds.
