Established Service Company - Lake Elsinore, CA Full-Time | Monday-Friday | In Person An established Lake Elsinore service company is seeking a dependable, outgoing, highly organized Receptionist / Administrative Coordinator to become an important part of our front office and daily operations. This is more than a traditional receptionist position. We are looking for a self-starter who enjoys working with people, stays productive without constant direction, and can keep up in a busy construction and service-based environment. The ideal candidate will be friendly and professional with customers while also being organized, confident, resourceful, and willing to jump in wherever needed. Responsibilities Answer and direct incoming calls professionally and efficiently Greet customers, vendors, applicants, and visitors Assist customers with questions, payments, account information, and service requests Process incoming and outgoing mail, checks, invoices, purchase orders, and office documents Maintain an organized and professional reception area Assist with scheduling, customer follow-ups, service requests, pickups, and deliveries Communicate between Customer Service, Dispatch, Operations, Accounting, and Management Track outstanding items and follow up to ensure tasks are completed Assist with spreadsheets, reports, data entry, filing, scanning, and document organization Provide basic billing and administrative support Process and track purchase orders and vendor documentation Maintain accurate customer and job information in company systems Assist with employee paperwork, company forms, and administrative projects Keep management informed of important calls, customer concerns, deadlines, and issues Take ownership of assigned projects and follow them through to completion Recognize what needs to be done and take initiative without waiting for constant direction Provide additional administrative and operational support as needed What We're Looking For Excellent people and communication skills Strong self-starter with initiative Comfortable communicating with customers, contractors, field employees, vendors, and management Experience in construction, field service, trucking, equipment rental, trades, or a similar service environment is highly preferred Organized and able to manage multiple priorities at once Professional, friendly, and confident Strong follow-up skills—you don't let things fall through the cracks Detail-oriented and accurate with paperwork, numbers, and data entry Able to problem-solve and use good judgment Dependable, punctual, and consistent Comfortable handling confidential information Comfortable learning new software and business systems Able to work independently while still being a strong team player Preferred Experience 2+ years of receptionist, administrative, office coordination, customer service, or similar experience Previous experience supporting a busy office or multiple departments Construction or service-industry office experience strongly preferred Strong phone and customer-service experience Microsoft Outlook, Word, and Excel Scheduling, invoicing, purchase orders, customer accounts, or similar administrative experience Experience with CRM, accounting, dispatch, or service-management software is a plus Previous office coordination, senior administrative, or assistant management-level responsibilities are highly desirable The Person Who Will Succeed Here We're looking for someone who sees what needs to be done and does it. You notice the unanswered question. You follow up on missing paperwork. You make sure a message reaches the right person. You keep track of what's still outstanding. You can help the customer in front of you while keeping several other priorities moving. You don't need someone standing over you assigning your next task. You are comfortable in a busy environment, can shift priorities when necessary, and understand that in a service and construction-related business, every day can be different.
