In this vital role, you will be the welcoming face of our office, managing front desk operations while supporting accounting and administrative functions. Your energetic approach and organizational skills will ensure smooth daily operations, exceptional customer service, and efficient office management. Responsibilities Greet visitors and clients warmly, providing excellent customer service and professional assistance at all times Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and deliveries with precision Maintain organized filing systems, data entry records, and ensure accurate document proofreading Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking Assist with calendar management, scheduling appointments, and coordinating meetings for staff or clients Perform general office management duties such as ordering supplies, managing office equipment, and maintaining a tidy workspace Provide clerical support including typing reports, proofreading documents, and supporting administrative tasks as needed Experience Proven office experience with a strong background in clerical or administrative roles Familiarity with front desk operations and multi-line phone systems in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Drake Software Experience with bookkeeping software such as QuickBooks is preferred Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively Previous customer service experience with excellent communication skills and phone etiquette is essential Personal assistant or office management experience will be considered an asset Join us to be part of a vibrant team where your enthusiasm makes a difference!
