Job Summary Dr. Urias Plastic Surgery is seeking a friendly, dependable, and highly organized Medical Receptionist / Front Office Assistant to join our team. This is a hands-on position in a busy plastic surgery practice. While answering phones and managing the front desk are important parts of the role, this position involves much more than traditional receptionist duties. The ideal candidate will be comfortable interacting directly with patients, managing the appointment schedule, assisting with office workflow, preparing and faxing documents, serving as a chaperone during patient examinations when needed, and helping maintain a clean, organized, and professional office environment. We are looking for someone who is proactive, dependable, professional, and willing to help wherever needed. Because we are a small office, teamwork and the ability to switch between administrative and patient-facing responsibilities are very important. Responsibilities Greet patients warmly and professionally and assist with the check-in and check-out process. Answer incoming telephone calls, take accurate messages, and appropriately direct patient questions and requests. Schedule, confirm, reschedule, and coordinate patient appointments. Maintain an organized and accurate patient schedule. Contact patients regarding appointments, follow-up visits, scheduling, and other office-related matters. Assist with obtaining and organizing patient information and medical records. Scan, upload, fax, email, and file medical and administrative documents. Communicate with physician offices, medical facilities, insurance companies, and other healthcare organizations as needed. Maintain patient confidentiality and follow HIPAA requirements. Serve as a chaperone during patient examinations and procedures when requested. Assist with preparing patient rooms and keeping clinical and common areas organized. Perform routine cleaning and help maintain a clean, presentable, and professional office throughout the day. Monitor office supplies and notify management when supplies need to be reordered. Assist the physician and other team members with general administrative and office duties. Help keep patient flow organized and ensure patients have a positive experience from arrival through departure. Perform other reasonable duties as needed to support the daily operation of the practice. Qualifications Excellent customer service and interpersonal skills. Professional and friendly demeanor when interacting with patients. Strong telephone etiquette and communication skills. Excellent organizational skills and attention to detail. Ability to multitask and prioritize responsibilities in a busy medical office. Comfortable using computers, electronic scheduling systems, email, scanning, faxing, and standard office software. Ability to learn new software and office processes quickly. Dependable, punctual, and able to work independently when necessary. Willingness to assist with both administrative duties and general office upkeep. Ability to handle confidential patient information professionally and discreetly. Previous experience in a medical office, plastic surgery practice, cosmetic practice, or other healthcare setting is preferred. Bilingual English/Spanish is a plus, but not required.
