In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office Perform data entry, filing, and maintain accurate records to support office operations and client information management Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and document proofreading Assist with clerical duties including copying, scanning, and organizing documents while ensuring accuracy and confidentiality Provide customer support by addressing inquiries via phone or email, offering helpful information or directing to appropriate departments Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with multi-line phone systems and excellent phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Prior clerical or administrative experience in a professional setting is preferred Strong time management skills with the ability to prioritize tasks efficiently Knowledge of office management software such as QuickBooks or bookkeeping experience is a plus Excellent proofreading skills to ensure error-free documentation Previous experience as a receptionist in medical or dental offices is advantageous but not required Personal assistant or calendar management experience will be considered an asset Join us in creating a vibrant workplace where your organizational talents shine!
