Job Description

We are looking for a detail-oriented Receptionist/Front Desk team member to support administrative and outreach activities for a contract position based in Poway, California. This role serves as a welcoming first point of contact while also assisting with event coordination, communication, and record management. The ideal candidate is organized, service-oriented, and comfortable working with community partners, internal teams, and program participants in a fast-paced environment.
Responsibilities:
  • Welcome visitors, answer incoming calls, and provide front desk assistance while ensuring a welcoming and helpful experience for guests, staff, and external partners.
  • Support outreach and recruitment efforts by helping organize orientations, job fairs, presentations, and other onsite or community-based events.
  • Prepare and distribute promotional and informational materials, including flyers, mailings, advertisements, and related documentation for target audiences.
  • Build and maintain collaborative relationships with schools, community organizations, career centers, and public agencies to expand awareness of training opportunities.
  • Coordinate tours of the training facility for individuals and groups interested in learning more about available programs.
  • Maintain accurate files and records by organizing documents, creating new folders for participants and instructors, and preparing materials for audit review.
  • Assist workforce development leadership and staff with special assignments, administrative tasks, and day-to-day program support as needed.
  • Partner with marketing contacts to help develop social media and outreach content that strengthens visibility across recruitment channels.
  • Contribute to outreach initiatives that highlight modern construction technology and promote innovative training pathways to prospective applicants.
