Job Description

Job Overview We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your proactive approach and excellent communication skills will ensure smooth office operations and a positive first impression for everyone who walks through our doors. Duties Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using proper phone etiquette Maintain front desk organization, including filing, data entry, and document proofreading to support daily office functions Handle appointment scheduling and calendar management for staff or executives as needed Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties like typing correspondence, managing emails via Google Workspace or Microsoft Office, and maintaining accurate records Provide customer support by addressing inquiries promptly and professionally, ensuring excellent customer service experience Experience Proven office experience or administrative background with a focus on front desk responsibilities Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with multi-line phone systems and phone etiquette in a professional setting Bilingual abilities are highly valued to serve diverse clients and visitors effectively Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Previous clerical or receptionist experience in medical or dental offices is a plus Familiarity with data entry, filing systems, proofreading documents, and basic bookkeeping (QuickBooks preferred) Join us as a Receptionist to be the welcoming voice of our organization!
